The following complies with the General Data Protection Regulation (2018).
We use three methods of booking walks, namely on line through the Prestatyn and Clwydian Range Walking Festival website, telephone to Prestatyn Town Council, and manually via the booking form in the brochure.
When a walker makes a booking we only ask for the minimum information, namely the names, addresses and post codes of the walkers, and a contact number for the person making the booking.
Our admin and walk leaders need to know who will be attending, and how to contact the person who makes the booking in order to advise of any problems arising or changes to the walk.
Information about who is taking part in each walk, and a contact number for the person making the booking, is given to the walk leader so that he/she knows who is doing the walk. This is done for reasons of safety. The walk leader will not share this information with anyone else.
The data is retained for a period of two years for safeguarding reasons. It would not be wise to delete or dispose of it too promptly in case we should later hear of any incident which occurred, and which would need to be investigated.
At the end of each walk we ask the participants to complete a questionnaire about the walk. This is done manually, not digitally, and is also done anonymously. It is also entirely voluntary: no-one has to complete a questionnaire if they don’t want to. This information is requested to assist us in planning the next year’s event, and to deal with any issues that are raised in the questionnaires, albeit that they are raised anonymously.
We take data protection very seriously and data held by us or on our behalf by Prestatyn Town council will never be shared with any third party.
Although we are not required under the GDPR to register with the ICO (Information Commissioner’s Office) because we acquire information for recreational purposes, we still fully adhere to the principals of the General Data Protection Regulation (2018).
